About C.A.R.E.S.
C.A.R.E.S. is a digital support platform designed to help older adults manage daily routines, reminders, check-ins, emergency contact alerts and caregiver communication.
The platform is intended to support independence and improve visibility for authorised caregivers. It is not intended to replace professional care, emergency services, clinical advice or medical judgment.
The C.A.R.E.S. service is provided and operated by Cares Technologies Ltd, a company registered in England and Wales (company number 17439149), registered office 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ (“we”, “us”). These terms govern your use of the service. How paid plans are billed is set out in “Plans, trials and billing” below.
Who can use C.A.R.E.S.
C.A.R.E.S. can be used by older adults, relatives, informal caregivers, professional care staff and care provider organisations. Users must only access information they are authorised to view.
Caregivers, relatives and care providers must respect the privacy, dignity and independence of the older adult using the service. If you set up or manage C.A.R.E.S. on behalf of someone else, you confirm that you have their permission (or appropriate legal authority) to do so, and that they can ask for access to be changed or removed at any time.
User responsibilities
Users are responsible for entering accurate information into the platform. This includes medication names, reminder times, emergency contacts, caregiver details and any other personal information added to the account.
C.A.R.E.S. cannot check whether all information entered by a user or caregiver is medically correct. Users and caregivers should always check important health or medication information with a doctor, pharmacist, nurse or qualified professional.
Medication reminders
Medication reminders are provided as a support feature only. C.A.R.E.S. does not prescribe medication, recommend medication, change dosages, confirm whether a medication is clinically correct or replace advice from a pharmacist, doctor or other healthcare professional.
If there is any uncertainty about medication, the user or caregiver should contact a pharmacist, GP, NHS 111 or emergency services where appropriate.
Medication records and timing
What a “taken” record means. When someone marks a dose as taken, that is their own record of what they did. C.A.R.E.S. records what was marked, not what was swallowed — the same convention every medication tracker uses. A record can be added late or left unmarked, and C.A.R.E.S. cannot verify it.
How timing labels work. Where C.A.R.E.S. shows a timing label beside a dose record, it uses one window with three regions and no gap: Early means the dose was marked more than 30 minutes before its scheduled time; On time means it was marked within 30 minutes either side of the scheduled time; Late means it was marked more than 30 minutes after. The 30-minute window reflects a practical care-working convention — much beyond it, one dose’s slot can start to overlap with the next — and is C.A.R.E.S.’s own display convention, not clinical advice. C.A.R.E.S. does not determine what is clinically acceptable for any medicine; questions about dose timing belong with a pharmacist, GP or other qualified professional.
Wherever a timing label appears in C.A.R.E.S., the actual marked time appears with it. The label summarises; the timestamp is the fact.
When routine insights appear. Routine insights (a Family Premium feature) build up separately for each medicine: C.A.R.E.S. shows nothing about a medicine’s routine until it has 14 days of history and at least 10 marked doses. In practice that is about two weeks for a medicine taken every day, around five weeks for one taken twice a week, and around ten weeks for a weekly one; until then the product says it is still building up the routine.
Emergency and SOS alerts
The SOS feature can notify nominated contacts and may share relevant information such as optional location details where the user has allowed this. However, C.A.R.E.S. does not guarantee that a caregiver or contact will respond.
C.A.R.E.S. does not replace 999, NHS 111, emergency services, urgent medical help, professional carers or safeguarding services. In an emergency, users should contact emergency services directly.
The Companion
C.A.R.E.S. includes an optional Companion — a conversational assistant that can answer questions about information recorded in your account (such as scheduled medications, tasks and appointments) and help you use the service. The Companion is powered by a third-party artificial-intelligence model.
The Companion is not a medical professional and does not give medical advice. It is designed to decline medical questions and to direct you to your GP, a pharmacist, NHS 111 or, in an emergency, 999. Like all AI systems, it can make mistakes: its answers may be incomplete, out of date or incorrect, and must not be relied upon for medical, care, safety, legal or financial decisions. Always check important information against your own records and, where appropriate, a qualified professional.
Emergencies. Never use the Companion for urgent situations. In an emergency call 999; the SOS feature is the in-app route to alert your Care Circle.
The Companion is provided on an “as is” basis. To the fullest extent permitted by law, C.A.R.E.S. is not responsible for loss arising from reliance on Companion responses. Nothing in these terms excludes liability that cannot be excluded under UK law, and nothing affects your statutory rights.
Medication photo check
C.A.R.E.S. includes an optional photo check that compares a photo of a medication against reference photos the user has previously taken of their own medications, and suggests which one it looks most like. It is an appearance-matching convenience aid only.
The photo check can be wrong and must never be relied upon. It cannot tell apart medications that look similar, it does not identify or verify medication, and it is not a safety feature or medical advice. Always check the name on the packet or label before taking any medication, and ask a pharmacist, GP or a member of your Care Circle if there is any doubt. The photo check never records a medication as taken. The photo check is optional and can be switched off in Settings. Checked photos stay on the device where they were taken and are deleted automatically after 24 hours; they are not sent to the Care Circle or to anyone else. Any second look at a checked photo happens on that same device, and any confirmation given there is that person’s own view and not verification by C.A.R.E.S.
Caregiver and family access
Caregiver access is permission-based. Only authorised caregivers, relatives or care-circle members should view shared information. Users can manage, change or remove caregiver access where appropriate. Caregivers must not share user information with anyone who is not authorised.
Key safe and door codes held by a care agency
A care agency using C.A.R.E.S. may record a key safe or door code for a person’s home. The code is held encrypted, is shown only to the office and to the care workers assigned to that person or visiting them that day, and every reveal is recorded so the agency can say who saw it and when. A code may be held on the carer’s phone for the visit day, and revocation cannot reach a phone with no signal. The agency is responsible for retiring a code when it changes or when a key holder leaves; the phone removes it when it next syncs and when the carer signs out.
Plans, trials and billing
C.A.R.E.S. offers a Family Premium subscription (£9.99 per month or £99 per year) and a Care Agency subscription (from £99 per month or £990 per year, including 10 caregiver seats, then £8 per additional caregiver per month or £80 per additional caregiver per year). The person receiving care never pays: the older adult’s own C.A.R.E.S. account is free, always. Current pricing and what each plan includes is always shown on our pricing page. C.A.R.E.S. is not currently registered for VAT, and no VAT is currently charged on any plan. If this changes, existing subscribers will be given notice before any new price applies to them (see Price changes below).
Your 14-day free trial. New Caring for Someone and Care Agency accounts include a 14-day free trial, starting the day you begin it at checkout. Payment details are taken when the trial starts, and nothing is charged until it ends. When a trial ends without a subscription, or a subscription ends, the account is locked: your data is never deleted or held back, your data export remains available at any time, and you can restart your subscription whenever you choose. The older adult’s own account, including medication reminders, daily check-ins and the SOS button, remains free, always.
The CARESFOUNDING founder code. People who completed the early-access questionnaire receive the code CARESFOUNDING. It gives 20% off your first payment on Family Premium, can be used once per account, cannot be combined with the Carer’s Allowance rate, and expires on 31 March 2027. An expired or fully-used code simply won’t apply at checkout.
The Carer’s Allowance rate. If you receive Carer’s Allowance, Family Premium is £8.49 a month (15% off the standard price). The rate is available on self-declaration: you tick a box at checkout confirming you currently receive Carer’s Allowance, and we do not ask for evidence and do not run any check — please only use the rate if it genuinely applies to you. We don’t check declarations routinely, but we reserve the right to ask you to confirm your entitlement; if you can’t, the subscription moves to the standard rate from the next renewal — never backdated. If you stop receiving Carer’s Allowance, tell us at support@heycares.com and we’ll move you to the standard rate from your next renewal. The rate can’t be combined with promo codes.
Payments. Payments are processed securely by Stripe. C.A.R.E.S. never sees or stores card details. Subscriptions renew automatically until cancelled. Payments for paid plans are currently collected by Mustafa Khodir as an individual, who is the merchant of record, pending the company’s own payment account.
Cancelling. You can cancel at any time. Cancellation takes effect at the end of the current billing period, and you keep paid features until then. After that the account is locked with all data intact and exportable; you can restart your subscription at any time.
Your 14-day right to cancel. This is separate from the free trial — two different windows that happen to share a number. The trial is ours: fourteen days to try the product without paying, from the day you start the trial at checkout. The right to cancel is the law’s: if you are a consumer in the UK, you have a 14-day cooling-off right starting the day you first subscribe. Cancel within it and we refund your payment in full. Renewals for a billing period already started are generally non-refundable except where the law requires otherwise. Nothing in these terms affects your statutory rights as a consumer under UK law.
Price changes. If prices change, existing subscribers will be given at least 30 days’ notice before any new price applies to them.
Service limits and updates
C.A.R.E.S. depends on internet access, device settings, battery level, notification permissions and correct account setup. The service may not work correctly if a phone is switched off, offline, out of battery or if notifications are disabled.
C.A.R.E.S. cannot guarantee that every reminder, alert or notification will be delivered or responded to. These Terms of Use may be updated as the platform develops.
Governing law
These terms, and any dispute or claim arising out of or in connection with them or your use of the C.A.R.E.S. service, are governed by the law of England and Wales. You and Cares Technologies Ltd agree that the courts of England and Wales have exclusive jurisdiction, except that if you are a consumer resident in Scotland or Northern Ireland you may also bring proceedings in your local courts. Nothing in this clause affects your statutory rights as a consumer.
